The opportunity:

We are currently seeking a talented Personal Assistant (PA) to join our team; this newly created role will see you being a valued member of our Frasers Corporate Team. This highly visible role will have you working closely with the Executive Assistant (EA) to the CEO and providing support to 3 General Managers.

The PA will play a vital role in the day-to-day operations of the Executive Management Team. Under the guidance of the EA, your responsibilities will include calendar management, event coordination, documentation management, and general administrative tasks. As part of the Rhodes administrative support team, the role contributes to fostering workplace culture and enhancing the employee experience through organising events and initiatives that promote unity, collaboration, and wellbeing.

As the successful applicant, some of your responsibilities include:

  • Managing the calendars allocated Managers/GM’s to make and coordinate appointments
  • Assist in the coordination and planning of events and conferences including sourcing and liaising with venues, booking catering.
  • Organise and assist allocated Manager/GM’s with travel arrangements as required
  • Assist with employee’s life cycle, onboarding, IT set-up, long service, and recognition awards coordination
  • Expense management and reconciliation, SAP invoice approvals, support standard vendor management and account admin
  • Provide general administration support; documentation management, booking travel, event coordination, calendar management., catering.
  • Actively look for ways to improve the productivity of the team through prioritising tasks, minimising distractions and planning ahead for meetings and events.
  • Assist with the formatting and finalisation of PowerPoints, agendas and other documents as required.

You may have all or some of the following skills / experiences:

  • Excellent interpersonal and communication skills with the ability to build professional relationships at all levels.
  • High level of organisational and administration skills, with the ability to multitask and manage multiple priorities and stakeholders simultaneously.
  • Effective time management skills and the ability to organise and prioritise tasks to meet deadlines
  • Operate with confidentiality, discretion and a high-level of integrity
  • Ability to work both independently and collaboratively in a fast-paced environment
  • Demonstrated administration and organisational experience within a corporate environment
  • Advanced software proficiency utilising Microsoft suite of tools
  • Attributes including proactive, team player, self-motivated, friendly, polite.
